Halen Homes has retained RMC Solutions, LLC to provide insurance tracking services on construction projects. Monitoring current subcontractor insurance is an integral part of risk management and is a high priority for Halen Homes. RMC Solutions provides the ongoing labor and professional expertise to request, collect, evaluate, record and monitor certificates of insurance and corresponding endorsements received from subcontractors. Cooperation between Halen Homes personnel, subcontractors/vendors, and RMC Solutions is critical in achieving proper risk management.

Who is RMC Solutions?
RMC is an insurance tracking firm retained by Halen Homes to collect, evaluate and store subcontractor insurance information for every Halen Homes project, and verify that it meets Halen Homes insurance requirements
What is the RMC Process after Project Mgr provides the subcontractor info?

Subcontractor Registration: RMC will send an email to the subcontractor inviting them to “Register” which is a 5 minute process that requires the subcontractor to verify their company information and provide their insurance agent contact information. We recommend subcontractor advise their agent to expect an email from RMC listing the insurance requirements. Please note, the subcontractor only needs to register with RMC one time. If the sub does not receive a request to register, it means that RMC already has their agent information.
Insurance documents requested and evaluated: RMC will evaluate insurance documents received from agents and will request additional information and or corrections as needed. If the agent does not respond or the additional documentation still does not meet the requirements, RMC will continue to request. After multiple requests, the subcontractor will be notified of noncompliance and advised to contact their agent. Ultimately, if the insurance requirements have not been met, Halen Homes is notified.

What do Project Managers need to provide RMC when a subcontractor is added to a project?
Project name, Subcontractor’s company legal name, company address, email address and contact person name. (click NEW SUB INFO SHEET)
How do I know when a subcontractor is compliant?
Monitoring the compliance dashboard is the best way to see if a subcontractor is compliant. The Project Manager (and anyone else listed) will receive an email “ALERT” from RMC stating the subcontractor is compliant. If you do not receive this email ALERT, see FAQ's:

When will I receive email alerts from RMC?
If you are listed to receive “ALERTS”, you will receive an ALERT when the following occur: 1) A sub does not register with RMC after multiple email requests. 2) A sub becomes compliant. 3) A sub becomes “Finalized Non-compliant” (See FAQ: WHAT DOES FINALIZED NON-COMPLIANT MEAN?)
What does “FINALIZED NON-COMPLIANT” mean?
When a subcontractor becomes “finalized non-compliant” it means that RMC has exhausted all efforts to achieve compliance and we have not received the required documentation. If this occurs, it is critical that the Project Manager take action by contacting the subcontractor, letting them know their insurance is not in compliance and that they should have their agent contact RMC.
What is the best way to address non-compliance?
Advise the noncompliant subcontractor to either have their agent respond to RMC requests or contact RMC customer service with any questions.
Can I be updated on the compliance status of subcontractors?
Yes, you can access the RMC web portal that was specifically customized for Halen Homes. (click COMPLIANCE STATUS DEFINITIONS) You should have received set up login information if RMC included you as a “User”. If you have not set up a user name and password, please contact RMC at 952.681.2391
What can cause a delay in approving the subcontractor’s insurance?
Unresponsive subs/agents is the most common reason for a delay. However, sometimes it can take a week or more for the insurance carrier to issue a specific endorsement. (See FAQ: WHAT IS THE BEST WAY TO HANDLE NON-COMPLIANCE)
How should I respond to questions from an agent or subcontractor regarding insurance?
Advise them to contact RMC directly.
What is RMC’s timeline for evaluation?
RMC will enter new subcontractor info into our system within 24-48 hours of being notified. Certificates and endorsements are also evaluated within 24-48 hours of receipt.
What is an “OVERRIDE REQUEST”?
If a sub or agent is unwilling or unable to comply with an insurance requirement, RMC will notify the designated Halen Homes manager that has the authority to make an exception to a requirement. Please note: RMC must be notified that the sub/agent will not be providing the coverage requested. Otherwise, RMC will continue to request the documentation.
Why do I receive “ALERTS” for subcontractors on projects that are completed and the sub is no longer on the jobsite?
Halen Homes requires subcontractor insurance be collected and evaluated throughout the duration of the warranty period after project is completed. It is equally important that subcontractors are in compliance during this time. As with any ALERT, appropriate action should be taken by Halen Homes.
